Real Estate Database and Sphere of Influence Coaching for Agents

Coach DO, the coaching practice of Dustin Randall Olson in Franklin, Tennessee, helps real estate agents across the U.S. and Canada build, clean, and work their database and sphere of influence so past clients and friends turn into repeat and referral business. The coaching covers database building and management, client touchpoints, client appreciation, referral systems, and CRM optimization, all delivered one on one.

Your database is the business

Most agents don’t have a lead problem. They have a follow-up problem. The people who already know, like, and trust you are sitting in a phone, a spreadsheet, or a CRM nobody opens. That’s the cheapest business you’ll ever get, and most agents leave it on the table.

Dustin learned this from the passenger seat of his mother’s car. She was the number two real estate agent in New York state, and he grew up thinking she was nosy. She wasn’t. She was working her network and following the people going through life changes. That lesson became the spine of how he coaches lead generation today.

Who this coaching is for

  • Agents with hundreds of contacts and no system to stay in touch with them.
  • Agents whose business swings feast or famine because follow-up stops the minute they get busy.
  • Experienced agents who want more repeat and referral business and less cold prospecting.
  • Team leaders who need one database standard every agent on the team follows.

What’s included

These are the specific Coach DO services this topic covers:

  • Database Building: pulling every contact out of your phone, email, social accounts, and old transaction files into one place.
  • Database Management: cleaning, tagging, and grading contacts so you know who needs what, and when.
  • Database and Client Touchpoints: a planned calendar of calls, texts, cards, events, and DMs, so staying in touch doesn’t depend on your mood.
  • Database Likes List: tracking what your people actually care about, from hobbies to kids to favorite restaurants, so every touch feels personal.
  • Using Your Sphere of Influence (SOI) for Real Estate: turning friends, family, and past clients into a steady source of business without being weird about it.
  • Real Estate Client Appreciation Ideas and Client Event Ideas: the touches people remember and talk about.
  • Referral Network Building and Referral Systems Coaching: referrals from past clients, other agents, and strategic alliances.
  • Client Relationship Management (CRM) Optimization: setting up the CRM you already have so it does the remembering for you.
  • Deal Source Tracking: knowing which relationships actually produce closings.
  • Real Estate Strategic Alliance Consulting: partners connected to the life changes that trigger a move.

How it works

  • Step 1, assess. The free Real Estate Business Assessment asks which CRM you use, how many contacts are in it, how many touches each contact gets a year, and how strong your referral system is. That’s the starting line.
  • Step 2, build and clean. Get every contact into one system, remove the dead weight, and grade who’s who.
  • Step 3, set the touch calendar. The Coach DO benchmark is 25 to 36 touches a year per contact, mixed across events, texts, calls, cards, and DMs.
  • Step 4, work a Top 10 list. From Dustin’s Deal per Week method: keep a list of your ten best leads, give them the royal treatment every morning, and ask where, when, and why. When one goes pending, the next one moves up.
  • Step 5, track and adjust. Deal source tracking shows what’s working. Bi-weekly calls keep you honest.

Touches people ignore vs. touches people remember

  • Ignored: a generic newsletter blast. Remembered: a text about the thing they told you they love, pulled from your Likes List.
  • Ignored: a holiday card with only your logo. Remembered: a handwritten note that mentions their kids by name.
  • Ignored: “Let me know if you know anyone looking to buy.” Remembered: a client appreciation event they actually want to bring a friend to.
  • Ignored: automation with no human behind it. Remembered: a call on the anniversary of their closing.

What makes Coach DO different

Dustin is a fifth generation real estate professional with 20-plus years in real estate sales, investing, and multifamily operations. He draws on the relationship-based, lifestyle-changes approach from Ninja Selling and on what he watched his mother do for years.

He’s also a certified DISC and TTI coach. That matters here. A high D agent and a high S agent won’t work a database the same way, and a plan that ignores how you’re wired gets abandoned by week three. Your touch plan gets built around you.

Coaching is one on one with Dustin, not a junior coach. You get bi-weekly video calls plus unlimited text and email between sessions, and access to more than 1,000 documents, scripts, checklists, and trackers.

Frequently asked questions

How many times a year should I touch my sphere of influence?

Coach DO uses a benchmark of 25 to 36 touches a year per contact. That's roughly two to three a month, mixed across events, texts, calls, cards, and DMs. The mix matters as much as the number. Thirty automated emails don't build the same relationship as a dozen personal texts, a few calls, a handwritten card, and an invitation to a client event. Dustin helps you build the calendar so the touches happen on schedule, not when you remember.

What's the difference between a database and a CRM?

Your database is the people. Your CRM is the tool that holds them. Plenty of agents pay for a CRM and still don't have a working database, because the contacts are incomplete, untagged, and never touched. Coach DO starts with the people: who they are, what they care about, and how often they hear from you. Then the CRM gets set up to support that plan instead of becoming one more login you avoid.

Which CRM should a real estate agent use?

The one you'll actually open every day. Coach DO doesn't push a specific CRM. Most agents get further by setting up the system they already have than by switching tools every year. CRM optimization means tagging and grading contacts, building reminders around your touch calendar, logging notes from every conversation, and tracking where deals come from. If your current CRM truly can't do that, you'll talk through options on your coaching calls.

How do I get more referrals from past clients without feeling pushy?

Stay in touch long before you ask. Referrals come from people who feel known, and that comes from consistent, personal touches: notes about their family, a call on their home anniversary, an appreciation event worth bringing a friend to. When the relationship is real, asking for an introduction doesn't feel pushy to either side. Coach DO builds the referral system around your personality and DISC style, so the ask sounds like you.

What is a Database Likes List?

A Database Likes List is a running record of what each person in your database cares about: hobbies, kids' names, pets, favorite restaurants, teams, and causes. It turns a generic touch into a personal one. Instead of another market update, you send the article about their favorite team or a gift card to the restaurant they mentioned. It's one of the specific services inside Coach DO's database coaching, and it makes every other touchpoint work better.

Is database coaching a separate program?

No. Database building, sphere of influence, client touchpoints, and referral systems are all part of Coach DO's one-on-one coaching. The program runs $750 to $950 per month, month to month with no contract, and includes bi-weekly video calls with Dustin, unlimited text and email support, the All-In-One Workbook, and more than 1,000 resources. How much time you spend on your database depends on what your assessment shows you need most.
