Real Estate Business Planning and Time Management Coaching
Coach DO, led by real estate coach Dustin Randall Olson in Franklin, Tennessee, helps real estate agents across the U.S. and Canada build a written business plan, an ideal week, and the calendar, goal, and tracking systems that make it happen. The coaching covers real estate business planning, time management, SMART goals, deal trackers, and budgeting, delivered one on one with bi-weekly accountability.
Who this coaching is for
You don’t rise to the level of your goals. You fall to the level of your systems. That’s the problem most agents bring us. They know what they want. They just don’t have a plan on paper or a calendar that protects the work.
This is for you if:
- You don’t have a written business plan, or you wrote one in January and haven’t looked at it since.
- Your calendar runs you instead of the other way around.
- You’re working well past 40 hours a week and family gets what’s left.
- You can’t say, with numbers, where last year’s deals came from or what they cost you.

The four steps: Shift Happens
Coach DO’s Shift Happens model is four steps to transform a real estate business. Planning and time management sit inside all four.
- 1. Personal growth. Who do you have to become? Nothing changes until you do. When you change, everything around you changes.
- 2. Systems, processes, and SOPs. Transactions, service, and time. Every part of your business needs a system, and the system is what raises productivity.
- 3. Marketing. Marketing that works when you don’t, through automation, so clients call you. Targets, then strategies, then tools, then execution. In that order.
- 4. People. No one succeeds alone. There’s no such thing as self-made, and you’re only as strong as your weakest link.
Time management versus self management
You can’t manage time. Everybody gets the same 24 hours. You can only manage yourself inside them. That’s why Coach DO calls it time self management.
- Old way: a to-do list, good intentions, and whatever lands in your inbox first.
- Coach DO way: an ideal week on the calendar, prospecting blocked first, everything else scheduled around it, and a weekly review against your plan.
And no, multitasking isn’t a strategy. It isn’t even possible. Focus is.
How it works
- Assess. The free Real Estate Business Assessment rates your scheduling and planning, your goals and business plan, your focus, and your work-life balance on a 1 to 10 scale. There’s no 7 on the scale, so you can’t play it safe.
- Set the goals. Business goals and life goals, together. There’s no work-life balance. It’s just life.
- Write the plan. Annual goals broken into quarterly goals, then monthly action steps.
- Build the ideal week. Your calendar becomes the plan in real time, built around your energy, your family, and your DISC profile.
- Track it. Appointments, active deals, deal sources, income, and expenses, so decisions come from numbers instead of feelings.
- Stay accountable. Bi-weekly calls with Dustin, a pre-call worksheet before each one, and unlimited text and email support in between.

Frequently asked questions
What should a real estate business plan include?
A real estate business plan should include your income and transaction goals, the lead sources that will produce them, a budget, and the weekly activities that drive the numbers. Coach DO breaks annual goals into quarterly goals and monthly action steps, then ties every step to your calendar. If the plan doesn't show up on your calendar, it's not really a plan yet.
What is ideal week planning for real estate agents?
Ideal week planning means designing your best week once, on the calendar, and then defending it. Prospecting and lead follow-up get blocked first, ideally in the morning. Appointments, admin, family, and personal time get scheduled around those blocks. Coach DO builds the ideal week around your energy, your DISC profile, and your goals, then adjusts it on bi-weekly calls until it actually holds.
How do I stop working 60 hours a week as a real estate agent?
Plan the week before it starts, protect your highest-value hours, and stop doing work someone else could do. Long hours usually come from no plan, constant interruptions, and a lack of leverage. Coach DO helps you build an ideal week, set clear boundaries with clients, use checklists and systems for repeat tasks, and decide when it's time to add an assistant.
What deal trackers do you use?
Coach DO clients get an Appointment Tracker and an In-Depth Active Deal Tracker with a summary page as part of the All-In-One Workbook. You also track where every deal came from, so you know which lead sources are worth your time and money. Over 1,000 additional trackers, checklists, and guides are available depending on what you're working on.
How often should I review my business plan?
Review it weekly against your calendar and monthly against your numbers. A plan you only look at in January won't change anything. Coach DO uses a pre-call worksheet before every bi-weekly session, so you're checking progress twice a month at minimum. Quarterly, you reset goals based on what the trackers show is actually working.
